Manual journals are used for recording credits and debits of unique transactions, this feature gives you the flexibility to export your payroll journal entries in a CSV.
This feature requires setting up your Chart of Accounts in advance to ensure accurate mapping of transactions.
How to Set Up Manual Journal Export
Before you can download your journals, configure your default Chart of Accounts by following these steps:
Go to the Settings tab.
Select Chart of Accounts.
On the top right corner click on the "Manage" button
Under Manage you need to set up the Account Code and Account Type first.
Add the Account Code for each account. (These codes can be obtained from your accounting software.)
For each Account Type, select the relevant account under Default Accounts.
Default Accounts and Transaction Mappings
Here’s how payroll transactions are mapped to default accounts:
PAYG Liability Account: Tracks your PAYG liability transactions. (Also called the PAYG Clearing Account.)
Wages Expense Account: Records the gross wages expense for the pay run.
Wages Payable Account: Used to reconcile the net payroll payment to your bank transaction. (Also called Payroll Clearing Account.)
Superannuation Liability Account: Tracks your super liability transactions. (Also called Super Clearing Account.)
Superannuation Expense Account: Tracks SG super expense transactions.
Default Payroll Liability Account: Catches deductions if no specific liability account is configured.
Employee Expenses Account: Records non-wage employee expenses processed during the pay run.
How to Export Your Payroll Journal
Once you’ve set up your Chart of Accounts, exporting journals becomes a breeze!
Follow these steps:
Go to Pay Runs:
From the main menu, select Pay Runs.
Choose a Pay Run:
Select any pay run from the All Pay Runs screen.
Download Your Journal:
Click on Pay Run Actions (top-right corner).
Select Download Journal or Download Detailed Journal.
Your journal items will then be exported as a CSV file, ready to import into your accounting software.
