Payroo uses Multi-Factor Authentication (MFA) to add an extra layer of security to your account.
When MFA is enabled for your organisation, you’ll need to verify your identity using an Authenticator app in addition to your Payroo email address and password.
Each user sets up MFA using their own Authenticator app and mobile device.
Important: Email one-time passcodes (OTP) are no longer used to complete your Payroo login when MFA is enabled.
What is Multi-Factor Authentication?
Multi-Factor Authentication (MFA) adds an additional security step when you log in.
With MFA, you use:
Something you know – your Payroo email address and password.
Something you have – your mobile device with your Authenticator app.
This additional step helps protect your account if someone obtains your password.
Before you start
You'll need:
Your Payroo email address and password.
A mobile phone.
An Authenticator app installed on your device.
You can use an Authenticator app such as:
If you don't already have an Authenticator app, install one before starting the MFA setup.
Set up MFA for the first time
1. Log in to Payroo
Go to the Payroo login page and click on Sign in.
Enter your existing Payroo email address and click on "Continue with email".
Enter your password and select Sign in
2. Start MFA setup
If MFA hasn't been set up for your account, Payroo will display the MFA setup screen.
Follow the instructions on screen to begin setting up your Authenticator app.
3. Open your Authenticator app
Open the Authenticator app on your mobile device.
Select the option to add a new account.
Depending on the Authenticator app you're using, this may be labelled Add account, +, or Scan QR code.
4. Scan the QR code
Use your Authenticator app to scan the QR code displayed in Payroo.
Tip: Scan the QR code using the scanner inside your Authenticator app, rather than your phone's normal camera.
Your Payroo account will then be added to your Authenticator app.
Note: If you're using the device you've installed the Authenticator app on to navigate the setup flow, you’ll have to tap the Enter key instead of scanning the QR code. Switch from your browser app to your Authenticator app and tap the add icon (+), then enter your email address and setup key
5. Enter the verification code
Your Authenticator app will generate a verification code.
Enter the current code shown in the app into Payroo.
Select Verify or Continue.
6. Complete setup
Once the code has been successfully verified, your MFA setup is complete.
The next time you log in, you'll use your Authenticator app to verify your identity.
Log in to Payroo with MFA
Once MFA is set up, the login process is:
Enter your Payroo email address.
Enter your password.
Open your Authenticator app.
Find the verification code for your Payroo account.
Enter the code in Payroo.
Complete your login.
Your Authenticator app generates new verification codes regularly. Always enter the current code displayed in the app.
What happens to Email OTP?
Previously, Payroo users could receive a one-time passcode (OTP) by email as part of the login process.
With the new MFA login experience, Email OTP is no longer supported.
When MFA is enabled, you must use an Authenticator app to verify your login.
MFA and the Payroo mobile app
MFA will also be available for the Payroo mobile app.
The same MFA setup and authentication process will apply when accessing Payroo through supported mobile applications.
Session timeout
For additional security, Payroo automatically logs you out after 15 minutes of inactivity.
You'll receive a warning before you're logged out, including a 10-minute countdown.
If you continue using Payroo, your session will remain active.
