Adding and Managing Client Organisations

Add clients, enter ABN/WPN details, access payroll and deactivate organisations.

The Payroo Agent Portal allows you to add client organisations and access their payroll from the Agent home dashboard.

Follow this guide to add a new organisation, open a client's payroll and manage organisation access.

1. Add a client organisation

Before adding an organisation, complete the required ATO Software ID setup.

Step 1: Start adding an organisation

  1. Open Agent home.

  2. Select Add New Organisation.

  3. Choose the relevant identifier type: ABN or WPN.

Step 2: Enter the organisation details

Complete the required fields displayed on the screen. These may include:

  • ABN or WPN.

  • Business name.

  • Address line 1.

  • Address line 2, if applicable.

  • Suburb.

  • State.

  • Postcode.

  • Organisation contact email.

Check the details before continuing.

Step 3: Confirm payroll access

Select the confirmation stating that you're taking full payroll access to lodge on the organisation's behalf.

Only confirm this if you're authorised to manage payroll and lodge reports for that business.

Continue to the next step.

Step 4: Complete the payment invitation, if prompted

For an account, Payroo displays an Invite To Pay step.

This allows you to nominate the person responsible for paying for the organisation's account.

If prompted:

  1. Enter the nominated person's first name.

  2. Enter their last name.

  3. Enter their email address.

  4. Follow the instructions to send the invitation.

The nominated person will receive an invitation to join the business as an administrator so they can add payment details and pay for the subscription.

Select Skip, if available, if you don't want to send the invitation at that stage.

Step 5: Confirm the organisation has been added

Return to Agent home and check the organisation list.

Confirm that the new organisation appears and review its subscription status.

2. Open a client's payroll

  1. Open Agent home.

  2. Find the relevant organisation.

  3. Confirm that you've selected the correct business.

  4. Select Open payroll.

You'll be taken to the organisation's payroll, subject to your permissions and the required setup.

3. Find and review client organisations

Use the organisation list to review your client portfolio.

You can check:

  • Organisation name and ABN or WPN.

  • Employee count.

  • Upcoming pay-run information.

  • Subscription status.

  • Latest pay run.

  • Latest super batch.

Review these details regularly to identify outstanding payroll tasks.

4. Deactivate a client organisation

If an organisation should no longer be managed through your Agent Portal, you may be able to deactivate it from the organisation menu.

Before proceeding, make sure you've selected the correct business.

  1. Open Agent home.

  2. Find the organisation you want to deactivate.

  3. Confirm the business name and ABN or WPN.

  4. Select the three-dot menu at the end of the organisation's row.

  5. Select Deactivate, if available.

  6. Review the confirmation prompt and any warnings displayed.

  7. Confirm the action only if you're certain you want to proceed.

Before deactivating an organisation

Review any outstanding payroll, STP or superannuation tasks. Consider whether you need to retain access to payroll records.

Deactivation may affect how you access or manage the organisation through the portal.

Frequently asked questions

  1. Why can't I find my client?
    Check that the organisation has been added to your agent account and that you're signed in to the correct account.

  2. Can I add a business using a ABN OR WPN?
    Yes. Select ABN OR WPN as the identifier type when adding an organisation, if applicable to the business.

  3. Does deactivation cancel the organisation's subscription?
    Yes, deactivation cancels the organisation subscription

  4. What if I can't access a client's payroll?
    Check that the organisation is listed in your portal and that you have the necessary access permissions. Contact Payroo Support if the issue continues.
