How do I create an employee's leave request as an employer?

Overview

As a payroll admin/manager, you can create and approve leave requests for employees through the web app, including entering leave hours on their behalf. The leave date will be factored into the appropriate pay run period based on the pay frequency and the previous pay run's end date.

  1. Select Leaves from the main menu

  2. Click on " Create New Leave Request"

  3. Select the employee

  4. Select the Leave type from the list
    Select the appropriate leave type (Annual, Personal, Long Service, etc.) from the list provided. If a leave type is missing, add the missing leave type to the employee profile, then to the leaves.

  5. Specify Start and End Dates

    • For single-day leave, select the same start and end date.
      Select "Full Day," "Half Day," or "Custom" to specify the duration and hours.

    • For multi-day leave, select the correct start and end dates. The leave hours will be calculated automatically. Click "View Breakdown" to see daily hours. Public holidays within the date range will be calculated as 0 leave hours.

  6. Leaves Required
    Leave hours are automatically calculated based on the employee's average daily working hours, derived from their weekly hours in pay rates.,
    However, on the "I" button, to see the leave hours applied for each day

  7. Add Note
    Include a note or description for your leave request

  8. Pay Periods
    Pay periods indicate the week/fortnight/month ending date for created leave requests. These end dates align with the payroll schedule. In this example, the employee is on a weekly payroll, so their leave request spans two different pay period end dates for payment. You can adjust total hours for each pay period, and these adjustments will affect leave hours applied for that day of the week.

  9. Add Attachment: Attach any supporting documentation.

  10. Click on Submit
    Your leave request will be submitted for approval with an initial status of "Pending." The status will update to "Approved" upon manager/administrator approval and to "Paid" after payroll processing.
